About This Role

PeopleFirst India is hiring a Payroll Executive for its Mumbai HR team to manage end-to-end payroll processing for a workforce of 250 employees across three business units. The role covers salary computation, TDS calculation, PF and ESI compliance, full and final settlement processing, and payroll MIS reporting. This is a precision-first role that requires deep knowledge of Indian payroll regulations and hands-on HRMS experience. Candidates with two or more years of payroll processing experience are strongly preferred.

Role Context

You will report to the HR Manager and own the complete monthly payroll cycle independently. The cycle runs from the 20th to the 28th of each month and must be completed without errors or delays. You will coordinate with department heads for attendance approvals, with the finance team for salary disbursement, and with external auditors for payroll compliance verification. Strict confidentiality around salary data and statutory filings is a fundamental requirement of this role.

Key Responsibilities

  • Process monthly payroll for 250 employees including variable pay, overtime, and leave encashment calculations
  • Calculate and deduct TDS, PF, ESI, and professional tax in accordance with current Indian regulations
  • Generate payslips, Form 16, and annual tax computation statements for all employees
  • File monthly PF ECR and ESI returns within statutory deadlines without exception
  • Process full and final settlements for resigned and retired employees including gratuity calculations
  • Coordinate with department heads to collect and reconcile monthly attendance and leave data
  • Prepare monthly payroll MIS reports for HR and finance management review
  • Respond to employee queries on salary breakdowns, tax deductions, and PF contribution status

Requirements & Skills

  • 2–4 years of end-to-end payroll processing experience for 150+ employees
  • In-depth knowledge of TDS computation, Form 16 generation, and payroll-related income tax filing
  • Strong working knowledge of PF, ESI, PT, and gratuity compliance requirements and portal operations
  • Hands-on experience with payroll HRMS platforms such as GreytHR, Keka, or Darwinbox
  • Advanced MS Excel skills for payroll data validation, reconciliation, and MIS report preparation
  • Absolute accuracy and discretion in handling payroll data and employee salary information
  • Ability to meet monthly payroll cycle deadlines consistently without requiring follow-up
