Job Description

DigitalWork Canada is a creative and technology agency managing simultaneous projects for clients across Canada. Our project coordinators are the glue that holds delivery together — they track timelines, coordinate between creative and development teams, communicate status updates to clients, and make sure nothing falls through the cracks. We are hiring a highly organized part-time Remote Project Coordinator to support our project management team from anywhere in Canada.

This is not a passive administrative role. You will be actively managing task boards, chasing overdue deliverables, flagging timeline risks to the project manager, and maintaining clear communication with both internal team members and external clients. You need to be proactive, comfortable with ambiguity, and the kind of person who would rather over-communicate than let a missed deadline surprise anyone.

Your Weekly Involvement:

Each Monday you review active project boards, identify tasks approaching their due dates, and send brief status check-ins to the relevant team members. Throughout the week you update task statuses as work is completed, prepare client-facing status reports, schedule and minute project calls, and track any scope change requests submitted by clients for the project manager's review.

Responsibilities:

  • Maintain and update project task boards in Asana, Monday.com, or ClickUp on a daily basis
  • Send weekly project status summaries to clients outlining completed work, upcoming milestones, and open items
  • Schedule project meetings, calls, and reviews and send calendar invitations with agendas to all attendees
  • Take accurate meeting minutes and distribute action item lists within four hours of each call
  • Track project budgets and flag when hours or costs are approaching agreed-upon limits
  • Coordinate document sharing, file organization, and asset handoffs between teams and clients
  • Log scope change requests and assist the project manager in preparing change order documentation
  • Maintain risk and issue logs and escalate unresolved blockers to the senior project manager promptly

Requirements:

  • Minimum one year of project coordination, operations, or administrative support experience
  • Proficiency in at least one project management tool such as Asana, Monday.com, or ClickUp
  • Exceptional organizational skills and the ability to track multiple concurrent projects without confusion
  • Strong written communication — your status reports and emails represent the agency to its clients
  • Comfortable facilitating video meetings and keeping discussions on track
  • PMP or CAPM certification is an asset but not required for this part-time role
