Job Description

RemoteFirst Canada manages appointment booking, calendar coordination, and logistics scheduling for healthcare practices, legal offices, and home services companies across Canada. Our remote scheduling coordinators handle inbound booking requests, outbound confirmation calls, reschedule management, and calendar optimization — all from their home offices. We are looking for a calm, organized, and communication-savvy part-time Remote Scheduling Coordinator to join our growing operations team.

This is a high-volume coordination role. You will manage bookings for multiple client businesses simultaneously, which means staying organized, switching contexts quickly, and never letting an appointment fall through the cracks. Clients depend on our team to fill their calendars efficiently and keep their customers and patients well-informed — a missed confirmation or double-booking has real consequences for the businesses we serve.

Your Daily Operations:

You log in, check overnight voicemail and booking requests, and begin processing them in priority order. You confirm upcoming appointments via outbound calls or automated text follow-ups, reschedule cancellations promptly, and keep each client's calendar at maximum utilization. You wrap up each shift with a brief status update for your account manager.

Primary Responsibilities:

  • Process inbound appointment requests via phone, email, and online booking platform integrations
  • Make outbound confirmation calls and send reminder texts for appointments across all client accounts
  • Reschedule cancellations within the same business day to minimize lost booking revenue
  • Optimize daily appointment slots to eliminate gaps and reduce client downtime
  • Update client calendars in real time using scheduling software such as Jane App, Calendly, or Acuity
  • Communicate any scheduling conflicts, no-shows, or capacity issues to the relevant client
  • Maintain accurate records of booking history and contact notes in the CRM
  • Respond to urgent same-day booking requests outside of normal scheduling windows

Qualifications:

  • Strong verbal communication skills — you will spend a portion of each shift on the phone
  • Exceptional organizational ability and comfort managing multiple calendars simultaneously
  • Experience with scheduling or booking software is strongly preferred
  • Calm and professional manner when handling frustrated callers or urgent requests
  • Reliable internet connection and a quiet home environment for phone-based work
  • Healthcare scheduling experience is a significant asset for medical client accounts
